WhatsApp customer satisfaction surveys: a practical guide for companies in Mexico
How WhatsApp customer satisfaction surveys work, what to ask, what Meta requires, what they cost and what to do with the answers. A guide for Mexico.
By Dos Palomitas
Almost every company says it wants to know how it did with its customers. In practice, the survey is usually an email with a link, sent weeks after the sale, that almost nobody answers. WhatsApp satisfaction surveys solve part of the problem: they arrive soon after the purchase, in the chat the customer already uses, and take a couple of minutes to answer.
This guide explains how they work, what to ask, which Meta rules are worth knowing, what they cost and, above all, what to do with the answers.
What is a WhatsApp satisfaction survey?
It is a short survey that a company sends automatically to a customer on WhatsApp, usually right after a purchase, a delivery or a service visit. Instead of an email with a link, the customer gets a message in their chat and answers right there, or on a lightweight page that opens from a button in the message.
It is not the same as the native poll you can create by hand in a chat, or pasting the link of any form. To send surveys automatically and at scale you need Meta's WhatsApp Business Platform API, either directly or through a provider that uses it for you.
The most common surveys measure CSAT (how satisfied the customer was with a specific purchase) and NPS (how likely they are to recommend you). Many companies use a mix of both.
How it works under the hood
The typical flow has six steps:
- An event triggers the survey. For example, a sale marked as won in the CRM, a confirmed delivery or a completed appointment.
- Eligibility rules. Not every customer should get one: you check the minimum amount, that the contact is the right one, that the mobile number is valid, that there is consent and that the customer was not surveyed recently.
- Template message. Because the company writes first, Meta requires an approved template, with a button to start.
- The customer answers. It can be a WhatsApp form inside the same chat or, if Meta does not enable it on the account, a lightweight web page that opens from a button. Either way, the customer installs nothing and does not sign in.
- The answer is stored and classified. If it is positive, the customer is thanked. If it is low, a follow-up case is opened.
- One reminder and expiry. A single, prudent reminder and, after some time, the survey expires.
What to ask
Less is more. A structure that works well for a purchase:
- One rating of the overall experience of the purchase (1 to 10).
- The likelihood of buying again.
- The likelihood of recommending the company.
- An open comment: "What could we improve?".
Two tips. First, mention the specific purchase (branch and date) so the customer knows what you are asking about. Second, if you need to compare against NPS benchmarks, use the classic 0 to 10 scale; if you only want to compare branches with each other, any consistent scale works.
When to send it
Soon after the event. In high-value sales, the best moment is usually a few days after delivery or start-up, when the customer has tried what they bought but still remembers it. Avoid night hours and send during working hours.
What Meta requires (and the law)
Consent. WhatsApp requires that the person agreed to receive messages from your company on that channel. Keep a record of when and how they gave it, and offer a simple way to opt out.
Template category. This is the detail that surprises people most. In its template categorization guidelines, Meta accepts a feedback survey as a utility template only if it refers to a specific order, transaction or interaction. A generic survey is not approved as utility, and one that mixes the survey with promotional content is treated as marketing, which costs quite a bit more. And if you choose utility but Meta decides it is marketing, the template is approved as marketing.
- Acceptable: "Hi Marcela, thank you for your purchase on October 8 at our Querétaro branch. How was your experience?"
- Not acceptable: "Tell us how we are doing and get a discount!"
Personal data. You are handling names, phone numbers and purchase data. In Mexico, the Federal Law on the Protection of Personal Data Held by Private Parties applies: you need a privacy notice, you need to know who is the controller and who is the processor, and you need to handle access, rectification, cancellation and objection (ARCO) requests. Have your legal advisor review your notice before the first survey.
What they cost
Meta charges per delivered message. According to Meta's rate card effective October 1, 2026 (checked on October 29, 2026), a utility template in Mexico costs MXN 0.1565 (USD 0.0085) and a marketing template MXN 0.7298 (USD 0.0397). A utility survey therefore costs MXN 0.16 with a single message and up to MXN 0.31 with a reminder; as marketing, between MXN 0.73 and 1.46. All of this is before taxes and before whatever your platform charges. We broke it down in full in how much it costs to send WhatsApp surveys in Mexico.
What to do with the answers
A survey that only produces an average is worth little. The value is in closing the loop:
- Set a threshold (for example, 8 or below) and open a case with an owner and a status for every low rating.
- Tell whoever can fix it, such as the branch manager, and escalate if the case is still open after some time.
- Look at results by dimension: branch, brand, product or customer type. A global average hides problems.
- Recognize what goes well. Positive comments and shout-outs to team members are motivating.
Common mistakes
- Long surveys. Past five questions, people drop off.
- Generic surveys, which can also be billed as marketing.
- Writing to people who did not give consent.
- Surveying the same customer on every purchase. Set a minimum frequency per customer and per phone.
- Measuring without an owner: if nobody handles the complaints, the customer notices.
- Promising yourself a response rate. The figures that circulate come from providers and vary widely; measure your own.
How to start
- Decide which event triggers the survey and who gets it (and who does not).
- Secure consent and your privacy notice.
- Write three questions and a comment, naming the purchase.
- Define who handles the low ratings.
- Test with your own team before writing to a customer.
At Dos Palomitas we do all of that: the survey goes out when a sale is marked as won in Salesforce (or in another system, through the API or a CSV file), the rules apply, a case opens with the low rating and the branch manager gets the alert. You can see the pricing or book a guided demo; for now the demo is by invitation only.
